CONSTITUTION OF THE GEOGRAPHY GRADUATE SOCIETY

Article I – Name
The name of this organization shall be : Geography Graduate Society (GGS)
Hereinafter referred to as “The Society”

Article II - Objects
The objects of the Society are:
2a:To offer resources, help and support to current, past and future geography graduate students.
2b: To promote and organize intellectual and social exchanges amongst graduate students in the department of Geography

Article III - Membership
All graduate students currently registered in the department of geography are regular members of this Society. Aside from this stipulation, the society shall not discriminate in any way deemed unlawful or inappropriate by the PGSS constitution, or McGill University ethics guidelines.

Article IV - Officers
4a: The officers of the Society shall be as follows:
Two Co-Presidents
VP Communications
VP Geospectives
VP Social Events
VP Intramural sports
4b: The duties of the officers shall be as follows:

Co-Presidents:
The Presidents, while at the top of the list are not considered a supreme power. The Presidents probably have the most responsibilities and duties. The President wills do everything in their power to uphold the mission statement of the society.
The Presidents Responsibilities Include:
1. Hold general meetings regularly. If a meeting is not called on time, the VPs have the right to call a meeting.
2. Hold council meetings regularly. This meeting will be held before or after other regular meetings. It will be called based on its need; it is not mandatory to call each month. If this type of meeting is necessary and not called, the VPs have the right to call the gathering.
3. Execute all events (i.e. parties, conferences etc.) and attend each meeting, unless duties are delegated to another board member. If the Presidents are unable to attend, the duties will be given to another board member at the Presidents request.
4. Entertain ideas from other members by listening intently and respecting the opinions of others. Then the Presidents will examine all options before making a decision.

VP Communications:
The main objective for the Secretary is to perform his/her executive duties while recording the ongoing at all meetings and activities.
The Secretary's Responsibilities Include:
1. Attend every meetings, activities, and events unless prior arrangements have been made.
2. Document all happenings with the organization and distribute memos, notes, and messages to the appropriate members (i.e. managing the e-mail list and). The Secretary is responsible in keeping members up to date on the organization. An e-mail account has been set up to aid in the function.
3. Distribute flyers, notes, advertisements, or whatever means necessary to inform the appropriate parties of all events.
4. Hold an obligation to call a meeting if in the even neither the Presidents nor other VPs organize a meeting in the appropriated meeting time limit.

VP Geospectives
The requirements for the VP Geospectives consist of planning and coordinating the organization of the department “Geospectives” seminar series while being an active member of the society.
The VP's Responsibilities Include:
1. Attend every meetings, activities, and events unless prior arrangements have been made.
2. Plan the schedule of the seminar series early enough to avoid stressful moments. This includes meeting the faculty and undergraduate members involved in geospectives to propose, contact and confirm guest lecturers
3. Monitor the Geospectives cash flow: Planning in advance if the money devoted to Geospectives will be spent and how it will be spent.
4. Coordinate the setting of the seminar series organization the day of its happenings
5. Hold an obligation to call a meeting if in the even neither the Presidents nor the VPs organize a meeting in the appropriated meeting time limit.

VP Social Events
The requirements for the VP Social events consist of planning and coordinating the social events within the department while being an active member of the society.
The VP's Responsibilities Include:
1. Attend every meetings, activities, and events unless prior arrangements have been made.
2. Organize and coordinate mandatory GGS happenings (i.e. Mont-Saint-Hilaire week-end; Welcome day meeting)
3. Entertain ideas from other members by listening intently and proposing new activities. Then the Presidents will examine all options before making a decision.
4. Look cautiously at the feasibility of such happenings and try to help with the organization and promotion of those.
5. Hold an obligation to call a meeting if in the even neither the Presidents nor the VPs organize a meeting in the appropriated meeting time limit.

 

 

 

VP Intramural Sports
The requirements for the VP Intramural Sports consist of ………………………………… while being an active member of the society.
The VP's Responsibilities Include:
1. Attend every meetings, activities, and events unless prior arrangements have been made.

Article V - Executive
5a: The Executive shall be the officers of the society, and shall be elected once per year as per the election guidelines set out below.
5b: The Executive shall hold office from June 1st of each year until the following May 31st.

Article VI - Council
6a: The society Council shall be the working body of the society between General Meetings.
6b: The Council shall be comprised of
i. the Executive
ii. one MA and/or MSc member of the society, and one Ph.D. member.
iii. all GGS representatives to PGSS Council (if different than the above members).
6c: The Presidents shall call meetings of Council no less than twice per academic semester (ie, at least 4 times per year).
6d: Quorum shall be four members of Council.
6e: Council meetings are open to all members of the society

Article VII - Representatives
The society shall elect representatives to the PGSS and to all committees and bodies within the department of Geography on which graduate students are entitled to representation.

Article VIII - Finances
8a: The society shall conduct fund-raising for such programs or activities as it sees fit.
8b: The society may seek funding from the PGSS in accordance with that body’s funding guidelines.


Article IX - General Meeting
9a: There shall be one General Meeting of per semester.
9b: The General Meeting shall be called by decision of regular quorum of council.
9c: Notice of a general Meeting shall be given by posting announcements on departmental notice boards and by e-mail (where possible) at least one week before the meeting.
9d: Quorum for the General Meeting shall be 10% of the general membership.
9e: All motions shall be passed upon a simple majority of 50% + 1 vote.

Article X - Elections
10a: Elections shall be held once per year, at the Winter term General Meeting
10b: Notice of open positions shall be given at least one week in advance of the General Meeting by means laid out in Article 9c.
10c: Any regular member of the society may seek election for open positions, providing they acquire the nomination of two (2) other regular members.
10d: Ballot shall be secret, and shall be counted in the presence of at least two non-candidate members.
10e: Vacancies during the course of the year shall be filled by by-election, to take place at a special General Meeting. Notice of position, nomination, and voting shall take place as stipulated in regulations 10 b, c, and d.
10f: Positions at social and academic committees shall be determined at the September general meeting. Positions shall be held from this meeting until the meeting of the following year in September
10g: Elections at the GAC (Graduate Affairs committee) are processed as follows. Three positions are available. One position shall be preferentially attributed to a returning student who sitted on the committee the year before. One position shall be preferentially attributed to a new member of the society. The third position shall be attributed to any potential candidate. If none of the two first positions can be filled by candidates with corresponding profiles, then any candidate shall be applying to those. If necessary a secret ballot round shall be held.

Article XI - Affiliation
The society shall be affiliated with the Post Graduate Students’ Society of McGill University (PGSS), as provided for by that body’s constitution, and with
other bodies as the membership sees fit.

Article XII - Adoption and Amendments
12a: This constitution has been initially adopted by a two thirds majority of a General Meeting of the society.
12b: Amendments to this constitution shall be made at a General Meeting or at Council meetings is the quorum is reached.
12c: Notice of proposed amendments shall be posted at least one week before the General Meeting, in the manner stipulated in Article 9c.
12d: Amendments will be voted on by open ballot, and shall pass by a 2/3 majority of those present at the General Meeting.
